Stay at Asilomar
Reservations
The reservation deadline is January 31, 2024. Guest rooms must be reserved directly with Asilomar. Housing fees do not include conference registration and must be paid in full in advance of the conference. The housing fee is per person and includes five nights of accommodations and all meals beginning with dinner on Tuesday, March 12 through breakfast on Sunday, March 17. There will be no refunds for missed meals and/or early departures. The total cost of your reservation (housing, meals, facility fee, processing fee, and taxes) will be charged on the credit card you provide within 24 hours of when you make your reservation. You must register for the conference separately.
All fees listed below are per person and include five nights of lodging, three meals a day, taxes, and fees.
Room Rates
Single –$1,484.00
Double – $1,012.00 per person
Triple* – $873.00 per person
Quad* – $803.00 per person
* Please note that the majority of triple and quad rooms are created by adding a cot to a room with two single beds.
Shared Rooms: Asilomar will not match attendees with roommates. In order to be assigned to a double, triple, or quad room, you and your roommate(s) must indicate each other as roommates. If you are requesting a double, triple or quad room, on the Customer Information page under Requests, enter your roommate’s name in the box provided. The rates appearing are per person based on the occupancy type.
Important Note: If you request someone to be your roommate, and they do not request you, your reservation will be put on hold and not confirmed. All requested roommates must be registered for the same lodging nights and must register within 5 business days of each other.
The largest portion of rooms at Asilomar are double rooms, i.e., two beds. All Asilomar rooms have private baths and complimentary Wi-Fi. The Asilomar Conference Center is a barrier-free access facility. All persons with disabilities are encouraged to attend and will be accommodated.
Some people will be housed at hotels located across the street from Asilomar. The cost will be the same as staying on the Asilomar Conference Grounds. Those assigned to an overflow hotel will receive an Asilomar meal card when they check in at the Conference Registration Desk so that they can get their meals in Crocker Dining Hall.
Facility Fee
All attendees are required to pay the facility fee. The fee is included in the Asilomar reservation rate so no additional payment is required. If an attendee chooses to stay off-site, they are required to pay the Asilomar daily facilities fee of $72 total (no refunds for late arrivals or early departures) on the conference registration form.
Meal Plan
Attendees that are not staying at Asilomar Conference Grounds can purchase a meal plan/facility fee ticket that includes dinner on Tuesday, March 12 through breakfast on March 17 and the facility fee. The package can be purchased on the conference registration form. You do not need to purchase the page if you are staying at Asilomar.
Extending Your Stay
If you are arriving early, the following rates are available and include lodging, 3 meals a day, taxes, and fees:
Single – $296.80
Double – $202.40 per person
Triple* – $174.60 per person
Quad* – $160.60 per person
Reservations can be extended to before March 12 or after Sunday, March 17.
Housing Cancellations
If you must cancel your reservation, please contact garcia-vivian@aramark.com immediately. Reservations canceled by February 11 will be refunded minus a $100 processing fee. Cancellations received on or after February 12, 2024 will not be refunded. Important note: canceling your hotel reservation does not cancel your meeting registration.
Phoebe Hearst Social Hall Hours
Check-in at Asilomar is in the Phoebe Hearst Social Hall. The building is open 24 hours except on Tuesday and Wednesday it closes at 11:00 p.m. Check-in is after 4:00 p.m. on the day of your arrival. Check out is by 11:00 a.m. on the day of your departure.
Phones, Parking, and Packages
To preserve the retreat atmosphere at Asilomar, there are no telephones in the guest rooms. House phones are located at each building for in-house calls, and public telephones are located in the Phoebe A. Hearst Social Hall. Free wireless Internet access is available in all guest rooms and the Social Hall. Complimentary parking is available at Asilomar.
Asilomar will not receive nor hold shipments from internet vendors (e.g. Amazon) for guests attending a conference. If you plan on purchasing from these vendors, please coordinate with Tricord (tricord.net) at (831) 883-8600 or email Megan@tricord.net to arrange for temporary storage and pickup. Fees will apply. Asilomar is not responsible for any loss of incoming shipments.
Accessibility
As part of the California State Parks system, Asilomar welcomes people with all levels of physical ability. Prior to arrival, visitors with special access needs are invited to contact the Front Desk at (831) 372-8016. If you have difficulty walking long distances, you may want to rent a scooter from Scoot Around. They will deliver your scooter to your hotel and pick it up when you no longer need it. For more details, visit www.scootaround.com or call (888) 441-7575.
Child Reservation Rates
There is no charge for children that are age 0-2. The fee for children 3-12 years old is $387.00. If you have children staying with you please provide their names and age on the Guest Information page under Other Requests. The additional fee per child (3-12) will be charged in addition to the total value listed on your confirmation letter.
